People

Click People to manage staff, contractors and third parties as well as timesheets and rosters.
The People menu, on the left side of the navigation bar, open. It show a submenu called People (with options Staff, Contractors, and Third party access) and Scheduling (with Timesheets and Roster)

Add people to your farm or organisation so that you can:

select people for tasks, health and safety and emergency plans
manage work hours in timesheets and rosters
keep employment details securely
maintain induction, training and skills records
give them access to your farm in FarmIQ and assign them a security role that determines what they can see and do.

Adding people

When you add people, you need to decide:

whether to add them at Farm level, Organisation level or both

whether to allow them access to the farm or organisation in FarmIQ, through their new or existing FarmIQ account
- If you give someone access, you will also decide their security role, which controls what they can see and change in your farm or organisation.

How you add people to your farm or organisation determines whether they appear in task, timesheet and roster lists and whether they have access in FarmIQ.

About FarmIQ accounts

	The way your account works in FarmIQ is changing: You can now use one login to access all the farms or organisations you are connected to in the whole FarmIQ system. Soon, everyone will log in to FarmIQ using their account's email address instead of the current username – so each FarmIQ account will need to have its own separate email address. Each person who uses FarmIQ now has a single account for all of the system. When they log in, they can access every farm or organisation their account is connected to.

Their personal details, like contacts, emergency contacts and first aid or CPR training, are part of their account and only they can edit them.

When you add people, you can search to see if they already have an account, and the system will check for existing accounts based on any details you enter.

If you give people access to your farm or organisation in FarmIQ, the system sends an email inviting them to connect their account.

If they don't have an account, the system will also ask them to make one.

Decide how to add people

You can add people as:

staff, with or without access to the farm in FarmIQ, at Farm level,
users at Organisation level,
contractors or
third party users.

Consider these guidelines to help you decide how to add someone:

If a person...	add them...	as:
works on farm but doesn't need access to FarmIQ	to the farm at Farm level	Staff without access

is an external person who needs access to your farm in FarmIQ to analyse or record information, for example, a Vet	to each of the farms that they need access to, at Farm level	a Third party user

* Staff and farm level users can be given access to Organisation level. Set them up at Farm level first, then give them access to Organisation level.

Giving people access to your farm in FarmIQ

People who need to:

record stock, land or product events in FarmIQ
set up tasks
run reports
enter information for emergency procedures or other compliance tools
see the Farm map or other information in FarmIQ
get notifications of tasks

need to have a FarmIQ account and be given access to your farm in FarmIQ.

It is good practice for each person who has access to the farm in FarmIQ to have their own account. This means that each user will have their own login and you will be able to keep track of who's doing what on the System.

Who can have access:

All Organisation users and Third party users have access.
Staff can be given access when you add them to the farm, or you can edit an existing staff member's details to give them access.
Contractors cannot be given access.

	Everybody in the organisation who has a FarmIQ account, will appear on the User list at Organisation level. A FarmIQ account is required to be able to use the mobile app.

Control what users can see or change

The Organisation role or Farm role you give a user determines which features they can see or change.
You can also give staff a Farm position. A Farm position is just a title and has no influence on their access to or role in FarmIQ.

	Organisation and Farm roles are collectively referred to as Security roles.

Each role is a combination of permissions suitable for a particular role on the farm.

For example:

the Farm manager role has a very wide range of animal, land, people and reporting permissions for a farm
the Stock manager (PICA) role mainly includes permissions related animal features in FarmIQ
a person with a View security role can see information in FarmIQ but cannot add, edit or delete it.
